The Hesley Group are recruiting for an Estates Administrator to provide a high standard of administrative support and management information to the Estates and Facilities leadership team.
Key Responsibilities will include
- Processing of all invoices relating to internal maintenance work.
- Logging invoices and pairing delivery notes, receipting orders and sending to sites for payment authorisation.
- Responding to invoice queries; both externally and with internal Accounts Dept.
- Updating the Approved Contractors Database to ensure all documentation is current.
- Updating the Cap Ex spread sheet and tracking Op Ex costs.
- Assist with auditing Cap Ex expenditure in conjunction with the Accounts Dept and in support of the Facilities Manager.
- Administrate and keep the E&F Department central folders up to date.
- Keep all H&S compliance documentation up to date.
- Assist the Department leadership with general administration and queries.

The successful candidate must have the following:
- Evidence of continued professional development.
- Knowledge of excel and maintaining spreadsheets
- Essential - Ability to maintain appropriate levels of confidentiality
- Ability to follow schedules and produce high quality work.
- Ability to maintain positive relationships with people and staff whilst working in a busy environment.
- Ability to deal with external visitors in a welcoming and helpful manner.
- Ability to communicate clearly and effectively.
- Ability to follow laid down schedules/procedures as well as a willingness to suggest improvements.
It would be desirable for you to experience in a care or support service environment and have knowledge of safeguarding procedures. It would also be desirable for you to have GCSEs (or equivalent) in Math and English and have administration experience
