- Working Hours: Full-time, 37.5 hours per week.
08:30 - 17:00, Monday to Friday with 1 hour lunch (unpaid)
Duties and Responsibilities:
- Work with the Helpdesk and Surveying teams to
continuously develop our CAFM system (Access Maintain), ensuring it
effectively coordinates and tracks our planned, reactive and compliance
workflows at all sites
- Update and maintain core asset data and records
within Access Maintain across all sites
- Regularly review and evaluate the performance
of our approved maintenance and compliance contractors, ensuring that agreed
SLAs and performance targets are met and provide period-end performance reports
- Regularly review call-out rates, invoicing and
other contractor-related costs for alignment with expectations, demonstrating
a robust approach to challenge discrepancies
- Prepare and manage tenders and RFPs for property-related
compliance, maintenance and servicing contracts. Provide detailed
recommendations to the Surveyors for appointing and managing service
providers based on performance, value and strategic fit
- Ensure comprehensive Out-Of-Hours (OOH) and
Emergency Response arrangements are in place, well-documented and
regularly tested
- Liaise with the Property Helpdesk, Regional
Surveyors, Health & Safety team, external Safety Advisors (e.g. Food
Alert) and other key stakeholders, to assist and coordinate the timely
resolution of remedial work arising from our Statutory Inspection
programmes, ensuring compliance and risk mitigation
- Maintain high standards of Health and Safety
across all facilities management activities, in accordance with our
policies. Partner with our Health and Safety Team to continually promote a
safe working culture across all areas and proactively identify potential
issues
- Build and maintain professional and proactive relationships
with external stakeholders (e.g. Fire Officers, EHO, Planning Enforcement,
neighbours and building owners). Ensure issues are handled efficiently and
resolutions communicated effectively
- Undertake regular property inspections across
the Brewery and Distribution centre, coordinating site operations and Health
and Safety teams to ensure maintenance and compliance tasks are completed
to time and budget parameters
- Refer larger repair requests to the Surveyors
for the appropriate course of action
- Oversee and line manage on-site maintenance
operatives, ensuring that a clear schedule is prepared for low-skills
tasks, maintained and undertaken to support the upkeep of the main brewery
site
- Prepare regular reports and updates for areas
of responsibility and provide updates on ongoing projects and emerging risks.
Bring to the attention any areas of concern to the appropriate line
manager or Director
The Ideal Candidate:
- Experience in a Property, Facilities and/or
Building Services Management or similar role
- Professionally qualified or working towards
RICS, CIOB or equivalent
- Strong IT literacy with demonstrable
experience in developing systems and processes to deliver property
services and facilities management
- Effective communication skills with all
functions and stakeholders and proven ability to productively manage
contractors, specialists and project teams.
- Strong knowledge of Access Maintain (Pronett)
and relevant construction and landlord safety legislation, with experience
in instructing and managing complex workloads.
- Knowledge of Listed Building, Conservation and
Planning laws together with industry-specific legislation such as
Licensing and Fire Safety.
- Diligent with a strong attention to detail and
accuracy
- Efficient and organised to effectively
prioritise tasks in a fast-paced environment
- Conscientious professional with a strong
commitment to safety
- Full UK driver’s license
